Freedom of Information (FOI) requests

Last updated: 15/03/2021

Freedom of Information (FOI) logo graphicThe Freedom of Information Act recognises that as a member of the public, you have the right to know how public services such as the NHS are organised and we run.

The Freedom of Information Act 2000 requires every NHS organisation to have a publication scheme that tells people what information is routinely available to them and how to get it.

The publication scheme is divided into 7 classes of information:

  1. Who we are and what we do
  2. What we spend and how we spend it
  3. What our priorities are and how are we doing
  4. How we make decisions
  5. Our policies and procedures
  6. Lists and registers
  7. The services we offer

Making a Freedom of Information Request

If you cannot find the information that you require on our website then please send us your request in writing to, please email us at:

Or write to us at:

Freedom of Information
Trust Headquarters
Marlborough Street

  • All requests for information must be made in writing, clearly stating what information is being requested, and including the requestor's name and address/email address, in order for us to respond.
  • Your request will be acknowledged and you can expect to receive the requested records (if held) within 20 working days.
  • The Trust may ask you for further information, which it reasonably requires in order to identify and locate the information that is requested.
  • In some cases, information may be exempt from disclosure. If some of the information is of personal and confidential nature, it will be excluded as will any other confidential material.
  • Material relating to the health and safety of specific individuals, as to law enforcement or criminal or regulatory enforcement or audit issues under certain circumstances may also be excluded from publication.
  • There may be circumstances where material cannot be released because the appropriate officer of the authority has taken the view that it may be prejudicial to the conduct of public affairs.
  • Should this be the case, then we will state the reason why the information cannot be released and the course of action to appeal if not satisfied.

Please note that our reply to you may be delayed while staff who often provide information are diverted to respond to coronavirus. This is in line with guidance from the Information Commissioner’s Office (ICO), which regulates Freedom of Information.  If we do not reply to you within 20 working days please contact us via the address / email address above. Find out more about the ICO guidance here.

Cost of information

The Trust will not charge for fulfilling standard information requests from individuals. However, if the Trust estimates that a request would cost more than £450 (staff time is calculated at £25 per hour regardless of actual rates) to complete, then as a pubic authority it is not required to meet such a request.

In these cases, the Trust can offer the requestor advice on ways in which they could adjust their request to bring it under the cost limit.

For a complete list of exemptions that may prevent disclosure, please refer to the Freedom of Information Act.

Complaints related to Freedom of Information Requests

If, after receiving a response to a Freedom of Information Request, you are dissatisfied with the handling of your request, you have the right to ask for an internal review. Internal review requests should be submitted within two months of the date of receipt of the response to your original letter and should be addressed to: FreedomOfInfo@uhbw.nhs.uk or Director of Corporate Governance, University Hospitals Bristol and Weston NHS Foundation Trust, Trust Headquarters, Marlborough Street, Bristol, BS1 3NU.

Please remember to quote the reference number.

If you are not content with the outcome of the internal review, you have the right to apply directly to the Information Commissioner for a decision. The Information Commissioner can be contacted at: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF
